Your simple guide to planning the perfect amount of sweet indulgence.
One of the most common questions we hear at Oh My Cupcakes! is:
“How many cupcakes should I order?”
Whether you’re planning a birthday party, wedding, graduation, or corporate event in Sioux Falls, getting the quantity right can feel tricky. Order too few, and you risk running out. Order too many… and well, that’s not always a bad problem . . . BUT! we still want to help you plan with confidence.
The good news? With a few simple guidelines, you can estimate the perfect number of cupcakes for your event.
General Rule of Thumb
For most events, we recommend:
- 1.2 (approximate) cupcakes per guest for standard-sized cupcakes
- 2–3 mini cupcakes per guest if serving minis
- This works well when cupcakes are the main dessert.
- Key Factors That Affect How Many Cupcakes You Need
Every event is a little different. Here are the biggest variables to consider when ordering:
1. Are Cupcakes the Main Dessert?
If cupcakes are the star of the show, plan for slightly more than one per guest.
If you’re serving additional desserts like cookies, bars, or a cutting cake, you can scale back a little bit.
2. Guest Appetite (Kids vs Adults)
- Kids’ parties: Often 1 cupcake per child (sometimes more!)
- Adult events: Typically 1.2 cupcakes per guest
- Mixed groups: Minis are a great option so guests can sample more than one flavor
3. Event Type
Different occasions tend to follow different patterns:
- Birthday Parties: 1–1.5 cupcakes per guest
- Weddings: 1.2 cupcakes per guest (will have just a few extras)
- Graduations/Open Houses: Minis are a great option here, and we recommend 1–2 cupcakes per guest as graduation party guests come and go.
- Corporate Events: 1 cupcake per guest or minis for easy sharing
4. Flavor Variety
Offering multiple flavors? Guests will often want to try more than one.
In that case, consider:
- Ordering extra cupcakes
- Or choosing mini cupcakes for variety
- We recommend narrowing your selections down to about 4-5 flavors total
5. Timing of Dessert
If cupcakes are served:
- After a full meal: You may need slightly fewer
- As a grab-and-go treat: Plan for a little extra
Suggested Cupcake Quantities by Guest Count
Here’s a quick planning guide:
| Guests | Standard Cupcakes | Mini Cupcakes |
| 12 | 12–18 | 24–36 |
| 25 | 25–35 | 50–75 |
| 50 | 50–70 | 100–150 |
| 100 | 100–130 | 200–300 |
When in doubt, we always recommend rounding up. Our cupcakes have a funny way of disappearing quickly.
When to Order Extra (And Why It’s Worth It)
A few extra cupcakes can go a long way:
- Unexpected guests show up
- Guests want seconds (they will!)
- You’d love leftovers for the next day
At Oh My Cupcakes!, we like to say:
“Running out of cupcakes is the only real cupcake emergency.”
Planning for Special Dietary Needs
Don’t forget to include options for everyone at your event. We offer:
- Gluten-friendly cupcakes
- Diabetic-friendly cupcakes
- Keto-friendly cupcakes
- Vegan cupcakes
A good rule is to set aside 5–15% of your total order for special dietary options, depending on your guest list.
